Quotation Turnaround for Singapore SMEs: From Three Days to Same Day

A Singapore SME should be sending quotations the same working day the request arrives, and within one working hour for anything it has quoted before. Firms that take three days are almost never spending three days on pricing. They spend twenty minutes pricing and two days waiting — for the enquiry to reach the right person, for one missing detail to come back from the customer, for the boss to approve a discount, and for someone to retype the numbers into a template. Quotation turnaround is rarely a pricing problem. It is a queueing problem, and queues can be fixed without hiring anyone.

Why does a quote take three days when the pricing takes twenty minutes?

Break a slow quote into its waits and the same four appear in almost every SME:

Individually each wait looks like an hour. The damage comes from the handoffs: every one of them can cross an overnight boundary, and three handoffs across two nights is your three-day quote. The fix is not to make each step faster. It is to remove handoffs.

What counts as a good quotation turnaround time for an SME?

One target for all quotes is the reason most firms miss all of them. Set three tiers instead:

That third tier is where most goodwill is lost and where it is cheapest to recover. A customer who is told "we need to check with the supplier, you will have it by Tuesday noon" and receives it Tuesday morning experiences a fast firm. A customer who hears nothing for four days and then receives an excellent quotation has already asked someone else. Your competitor set the clock, not you.

Which parts of quoting can you automate, and which still need a person?

Safe to automate: capturing the enquiry with required fields, assigning a quote number, looking up prices from a maintained master list, generating the document from a template, logging the send, and scheduling follow-ups. None of these involve judgement, and all of them are where the retyping errors come from.

Keep human: scope interpretation, risk and exclusions, any discount outside an approved band, and anything depending on site conditions. If you use AI to draft quotation cover text or summarise a customer's requirements, keep a person between the draft and the customer — a human-in-the-loop checkpoint before anything with a price on it leaves the building. And observe the same data boundary you would apply anywhere else: your cost structure, margin bands and customer pricing history do not belong in a public AI tool.

What does a same-day quotation process actually look like?

  1. One intake point. Every enquiry channel — web form, WhatsApp, phone, walk-in — lands in one place with one owner per day. Not one inbox three people watch; one owner.
  2. A required-field gate. Item or scope, quantity, delivery location, needed-by date, contact. If a field is missing, the first reply asks for exactly that field, in one message, not three.
  3. Triage and promise within 15 minutes. The owner classifies the enquiry into one of the three tiers and sends the customer a turnaround promise. This single step does more for perceived speed than any software.
  4. Price from a maintained list, inside a discount band. Published bands (say, up to 5% at salesperson level, up to 12% at manager level) remove most approval waits entirely.
  5. Generate, do not retype. The quotation document is produced from a template populated with the captured fields. Nobody opens an old file and saves-as.
  6. Send, log, and schedule the chase. Automatic follow-up on day three and day seven if there is no reply. Most SMEs lose more revenue to unfollowed quotes than to slow ones.

How do you measure quotation turnaround without buying a CRM?

A spreadsheet with six columns will tell you everything you need for the first quarter: date and time received, date and time of first reply, date and time quotation sent, tier, value, and outcome. From that, track two numbers separately — time to promise and time to quote — and report the median and the 90th percentile, never the average. The average hides the disasters, and it is the disasters that cost you the order.

Then do the analysis that usually ends the internal debate: sort won and lost quotes by turnaround band and compare win rates. When an owner sees the win rate for quotes sent within a day against those sent after three, the business case stops needing to be argued.

What should a 10 to 30 person firm fix first?

Give it thirty days and resist buying anything in week one. Week one: log the last twenty quotations against the six columns above. Week two: consolidate intake and write the required-field checklist. Week three: fix the price list and publish discount bands — this alone removes the approval wait. Week four: build the document template and turn on follow-up reminders.

Only then consider software, and when you do, check how your quotation data comes back out of it. A quoting tool that cannot export your full history in a usable format is a system you will be paying for long after it stops fitting — the same exit-planning question you should be asking of every SME platform you sign in 2027.

Frequently asked questions

Is it worth quoting fast if our prices are not the cheapest?
Yes, and it matters more. When you are not the lowest price, speed and clarity are what justify the difference. A quotation that arrives first, with exclusions and lead times clearly stated, frames the comparison. A late quote is judged on price alone because it has nothing else to offer.

Our quotes need engineering input we cannot rush. Does this apply to us?
The pricing cannot be rushed; the promise can. Split the response into acknowledgement, dated commitment, and the quote itself. Customers tolerate a five-day technical quotation very well when day one contains a specific date. They tolerate silence very badly.

How many enquiries do we need before automation is worth it?
Volume is the wrong test. The test is repetition: if the same four fields are retyped into the same template more than a few times a week, template generation pays for itself immediately. Below that, fix intake and approval bands — that is where the days actually go, and neither one costs money.
