Microsoft 365 and Google Workspace AI Bundling: What Will Your Per-Seat Cost Be in 2027?

Microsoft 365 and Google Workspace AI Bundling: What Will Your Per-Seat Cost Be in 2027?

If your business runs on Microsoft 365 or Google Workspace, assume your per-seat cost in 2027 will be higher than the figure in your current contract. For most Singapore SMEs the realistic planning range is 10 to 25 per cent more per user per month on the base plan, and considerably more if you add a full AI assistant licence on top. Both vendors have moved away from selling AI as an optional add-on and are building it into the standard business tiers instead, which means the increase arrives at your renewal date rather than on a date you choose. The decision to make this October is not whether to accept the change. It is how many seats you renew at the new price, and which of your staff genuinely need them.

What actually changed in the way Microsoft and Google price AI?

Until recently, AI was a separate line on the quote. You paid for your mailboxes and file storage, and if you wanted an AI assistant you bought it per user as an extra, at roughly US$20 to US$30 per user per month. Plenty of SMEs looked at that figure, decided it was not worth it, and carried on as before.

That option is closing. Google has already folded its Gemini features into Workspace Business plans and retired the standalone add-on, raising the list price of the base plan in the process. Microsoft has done the same in its consumer tiers and continues to push Copilot features deeper into the business ones. The direction of travel is clear and it is not unique to these two vendors: your accounting software, your CRM and your e-commerce platform are all doing the same thing. AI is becoming a reason to reprice the subscription, not a product you buy separately.

The practical consequence is that saying no is no longer a way to hold your price. If you want the old number, your only lever is a cheaper tier or fewer seats.

How do you work out what you will actually pay next year?

Most owners quote their software cost from memory and are wrong by a wide margin, because seats accumulate quietly. Spend twenty minutes and get the real figure.

  1. Pull the last three invoices from your reseller or the vendor billing page. Note the plan name, the seat count and the price per seat before GST.
  2. Count the seats you are actually using. Compare the licence list against your current payroll. Leavers, old shared logins and test accounts routinely add 10 to 20 per cent of dead weight.
  3. Find your renewal date and whether you are on an annual or a monthly commitment. This tells you when the new pricing can be applied to you.
  4. Multiply your real seat count by a 15 per cent uplift to get a conservative 2027 budget line. For 25 users at S$30 per seat per month, that is about S$1,350 extra a year. For 60 users it is roughly S$3,240.
  5. Separately, cost the AI assistant licences anyone has asked for, at about S$40 per user per month. Ten of those is close to S$4,800 a year, which is a hiring-level number, not a software rounding error.

The second figure is usually the one that surprises people. The bundled uplift is annoying. A fleet of assistant licences bought because everyone wanted one is a genuine budget decision.

Which staff actually need an AI licence?

Treat this the way you would treat a company phone. Not everyone gets the same one.

The people who get real value are those who write, read and summarise for a living: whoever handles quotations and tender documents, your finance person reconciling statements, anyone drafting client correspondence or marketing copy all day. For them, an assistant that drafts and summarises can plausibly return half an hour a day, which pays for the licence several times over.

The people who do not need it are your warehouse and delivery staff, shop-floor team, and the temporary hires you bring in for the December peak. Many of them barely need a full mailbox. Both vendors sell cut-down frontline or starter tiers at a fraction of the price, and a shared mailbox costs nothing. Moving fifteen light users off full seats often saves more than the AI uplift costs.

What can you still change before the renewal invoice is issued?

Four things, and all of them need to happen before the renewal, not after.

Remove the dead seats. Do the licence-versus-payroll check now. This is also your access control check, so it closes a security gap at the same time.

Re-tier the light users. Match the plan to the work. Expect some grumbling and do it anyway.

Cancel what the bundle now duplicates. If your plan includes AI note-taking, transcription and video meetings, you may be paying separately for a meeting recorder, a transcription service and a second video platform. Those standalone subscriptions are frequently the easiest S$200 to S$500 a month anyone finds.

Talk to a reseller before you auto-renew. A local reseller can often hold pricing across an annual commitment or bundle support in. If you are buying direct on a credit card with auto-renewal on, you are paying list price with no conversation.

One more item belongs on the list, and it is not a cost item. When AI features switch on inside your email and file storage by default, your staff gain new ways to send company information somewhere it has not been before. Before the new licences go live, write down in one page what staff may and may not put into an AI tool, and check the admin settings rather than assuming the defaults suit you. That page takes an hour and is the cheapest part of this entire exercise.

What does this mean for your 2027 budget?

For a typical 25-person Singapore SME, the honest planning number is S$1,500 to S$6,000 a year more on software, depending entirely on how many AI assistant licences you approve. The bundled uplift is unavoidable. The assistant licences are a choice, and they are the larger half.

Do the seat count in October while you are setting next year's budget anyway. Audited properly, the dead seats and duplicate subscriptions you find will often cover the increase, and you go into 2027 paying for software you are actually using.

Frequently asked questions

Is an AI assistant licence worth it for a 15-person company?

For two to four people, usually yes. Buy licences for the staff who draft documents and handle client correspondence, run them for one quarter, and ask those people directly whether they would give the licence up. Buying fifteen at once to be fair to everybody is how companies end up with a S$7,000 annual line nobody can justify.

Can we refuse the AI features and keep our old price?

Generally not. Once the features are bundled into the plan, the price belongs to the plan. You can switch to a lower tier, reduce your seat count, or disable the features in the admin console, but disabling them does not reduce the bill. Your savings have to come from seats and tiers.

Our renewal is in March 2027. When should we start?

Start the seat audit now and open the reseller conversation in January. Tier changes and seat reductions normally have to be requested before the renewal processes, and a renewal that auto-charges while you are still deciding is far harder to unwind than one you got ahead of. Two months of lead time is comfortable. Two weeks is not.
