Commercial Rent and Equipment Lease Renewal: What Should You Decide in October for 2027?

Commercial Rent and Equipment Lease Renewal: What Should You Decide in October for 2027?

If your commercial lease or a major equipment lease expires between January and June 2027, the decision belongs in October 2026. Landlords and leasing companies typically set renewal terms three to nine months before expiry, and your 2027 budget needs a rent figure you have agreed, not one you are hoping for. October is also the last month where you genuinely have options: time to view alternatives, price a move properly including reinstatement, and use that pricing as leverage rather than as a bluff. Leave it to December and you will be negotiating with no alternative, in the one month of the year when nobody in the property or finance chain is responsive.

Why is a 2027 expiry an October decision and not a 2027 one?

Three clocks run at once, and the slowest one sets your deadline.

The first is the notice clock. Most commercial tenancies in Singapore require written notice to exercise an option to renew, commonly three to six months before expiry, and some options lapse silently if you miss the window. Once it lapses, you are no longer renewing on pre-agreed terms, you are negotiating fresh.

The second is the alternatives clock. Finding, viewing, shortlisting and committing to a different unit takes four to eight weeks before you even reach fit-out. Fit-out for a modest office or retail unit runs another six to ten weeks, and longer if you need licensing or power upgrades. Work backwards from a 1 March 2027 expiry and you are already behind.

The third is the budget clock. If you are setting 2027 selling prices, headcount or a bank facility in November, the rent line has to be real. A placeholder number in the 2027 budget quietly becomes a pricing error for twelve months.

What is going up in 2027 that your rent decision has to absorb?

Rent is not the only cost line moving next year, and the renewal decision is where you decide which increases you can carry.

Manpower cost is stepping up: S Pass qualifying salaries and foreign worker levies are on an announced upward path, progressive wage requirements continue to lift wage floors in covered sectors, and CPF contribution rates for older workers have been rising in stages. Per-seat software is climbing as Microsoft and Google bundle AI features into standard plans. Payment fees, insurance and logistics have all drifted up rather than down.

Put plainly: if your 2027 wage bill, software bill and payment fees are each a few percent higher, a rent increase of the same size lands on top of all of them. Many SMEs look at a proposed 5 to 10 percent rent rise in isolation and judge it reasonable. Stacked against everything else, it can be the increase that moves you from a workable year to a marginal one. That is a pricing decision, not just a property one.

How do you work out what the space actually costs you per month?

Compare total occupancy cost, not headline rent. For each option, including staying, add up the monthly figure for:

Reinstatement is the line most SMEs forget and the one that most often decides the question. Many leases require you to return the unit to its original bare condition, and quotations for an ordinary office or retail unit are frequently in the tens of thousands of dollars. If moving triggers reinstatement at the old unit plus fit-out at the new one, staying put at a higher rent is sometimes genuinely cheaper. Get a reinstatement quote now, before you decide, because it changes the arithmetic by more than the rent difference usually does.

What should you ask for instead of a lower rent?

Landlords protect the headline rent because it sets the valuation of the building. They are often more flexible on everything else, and the everything else is where your cash actually sits.

Worth asking for: a rent-free or half-rent fitting-out period, a capped service charge, a shorter term with an option to extend rather than a long fixed commitment, a break clause, a reduced security deposit, a pre-agreed reinstatement scope in writing, or a landlord contribution to works you were going to pay for anyway. A two-month rent-free period on a three-year renewal is real money and does not disturb the headline figure. A written reinstatement scope removes a dispute you would otherwise have in 2030.

Ask for these in one written list, early, with your renewal intention stated. A tenant who has clearly done the arithmetic is treated differently from one who is simply reacting to a notice.

When is buying the equipment cheaper than renewing the lease?

Equipment leases on copiers, POS terminals, forklifts, coffee machines and kitchen plant deserve the same October review, and they hide two traps. The first is the evergreen clause: many of these agreements auto-renew for a further twelve or twenty-four months unless you give notice in a specific window. The second is that the total paid over a full term often exceeds the purchase price of the same machine, sometimes substantially, once service and consumables are bundled in.

Do this for each equipment lease: total the remaining payments, add the service and consumable charges, and compare that against buying outright or buying a replacement. Where the equipment supports a genuine productivity or digitalisation improvement, pre-approved support under schemes such as the Productivity Solutions Grant may apply to a purchase but not to a rental, which can tip the comparison further. Check current eligibility on the official business grant portal before you count on it.

Then diarise every notice date. One missed notice window on an auto-renewing equipment lease can cost more than the negotiation you won on the premises.

What belongs in the renewal file before you reply?

One folder, one page per lease, finished in October. For each lease: expiry date, notice deadline, who at your company is responsible, current total monthly occupancy cost, proposed renewal cost, reinstatement quote, cost of the best alternative, and the decision with its date. For equipment: notice window, remaining payments, buyout figure, replacement price.

That page is what lets you answer a landlord in a week instead of a month, and it is what makes your 2027 budget defensible to a bank or an investor. It also survives the departure of whoever currently carries these dates in their head.

Frequently asked questions

How much notice do I have to give to renew or leave a commercial lease in Singapore?

There is no single statutory period for commercial tenancies, so it is whatever your lease says, commonly three to six months before expiry for exercising an option to renew. Read the actual clause rather than relying on what happened last time, because options can expire and holding over without agreement may put you on monthly terms at the landlord's discretion.

Can I avoid reinstatement costs when I move out?

Only if the landlord agrees in writing, and the time to ask is at renewal or at signing, not at exit. Some landlords will waive or reduce reinstatement where the next tenant wants the existing fit-out, or will agree a defined scope so the final bill is predictable. Without a written scope, you are exposed to whatever the exit inspection decides.

Should an SME sign a longer lease to lock in today's rent?

It depends on how certain your headcount and space needs are. A longer term gives cost certainty and usually better incentives, but it also commits you to space you may not need if the business shifts. A shorter term with a pre-agreed option to extend often buys the certainty without the commitment, which is why it is worth asking for before you concede on rent.
